How to invoice a client in the United States from the United Kingdom

UK freelancers and small businesses usually bill US clients in US dollars or pounds and are paid by bank transfer (often through services like Wise) or PayPal. A clear invoice shows your business details, your VAT number if you are VAT-registered, and the client’s company name and address.

What to include

Commonly included

  • Agree the currency up front: US dollars are familiar to your client, while pounds leave the exchange-rate risk with them.
  • Show your business name and address, your VAT number if you are VAT-registered and your company number if you trade as a limited company, plus the client’s company name and address.
  • Give clear payment details: your IBAN and your bank’s SWIFT code, a US-dollar account from a service like Wise, or a PayPal link.

May be relevant

  • Services to business clients outside the UK are often outside the scope of UK VAT. A note such as “Outside the scope of UK VAT” is wording businesses commonly use when no VAT is charged.
  • US clients often ask overseas contractors for Form W-8BEN (or W-8BEN-E for a company) to document the contractor’s foreign status for US tax purposes. It goes to the client, not on the invoice.
